Terms of service
The agreement for using ActionMind: what it does, what stays yours, what we ask of you, and how to leave. Written to be read, not skimmed past.
In short
Your data stays yours
Your meetings, transcripts and tasks belong to you. We use them only to run the service for you.
You approve what is sent
ActionMind proposes; a person checks and approves before anything goes out.
Tell people you record
Let everyone in a meeting know it is recorded and transcribed, as the law asks.
Leave any time
Stop whenever you want, and delete your workspace in Settings.

These terms
These terms are an agreement between you and [company name], [registered address] (“we”), for using ActionMind: the website, the app, and the meeting bot and assistant. By creating an account, or by using ActionMind for your company, you accept them. If you accept them for a company, you confirm you may do so on its behalf.
How we handle personal data is in our Privacy policy.
What ActionMind does
ActionMind joins or reads your meetings, writes their transcript, finds the decisions and tasks, and proposes actions (an email to a task’s owner, a calendar event, a row in your task tracker, a Slack message, the meeting’s notes) that are sent through the tools you connect, once a person approves them.
ActionMind is new and still growing: features are added, changed or retired, and we tell you before a change that takes away something you use.
Your account
- ActionMind is for work, for people aged 18 or over.
- Give true details, keep your password to yourself, and tell us if you think someone else got in.
- You are responsible for what is done with your account and for the people you add to your team.
Your content
Everything you bring to ActionMind stays yours: recordings, transcripts, the tasks and decisions found in them, and your edits. You let us process it only to provide ActionMind to you: to transcribe, analyse, propose, send what you approve, check it was done, and keep the service safe.
- We do not use your content to train AI models, and we do not sell it.
- Our team reads a meeting only when you share it with us in a report, and you can take that back at any time.
- If you send us ideas or feedback, we may use them to improve ActionMind, without owing you anything for them.
Recording meetings
- The meeting bot joins under a name everyone can see, such as “Sia (ActionMind)”. Anyone in the meeting can pause it by saying its name and “stop”, and the host can remove it.
- Don’t use ActionMind where recording is not allowed, or to record people who don’t know about it.
AI suggestions and your approval
ActionMind uses AI to transcribe meetings and to propose tasks, owners, dates and messages. AI can be wrong: a name misheard, a date misread, a task that wasn’t one. That is why nothing is sent until a person approves it, and why each proposal shows what was said.
- Check each action before you approve it. You are responsible for what you approve and send.
- Deadline reminders, once you turn them on in Settings, are sent on your behalf under that standing approval; you can turn them off at any time.
- What the meeting assistant says aloud is a suggestion, not advice you can rely on without checking.
The tools you connect
When you connect Google, Slack, Notion, Jira or another tool, ActionMind acts there only within the permissions you grant, and only to do what you approved or turned on. Your use of those tools, and of your meeting platform (Google Meet, Zoom, Microsoft Teams), stays under their own terms. You can disconnect any of them in Settings at any time.
Fair use
Please don’t:
- break the law with ActionMind, or record, send or store anything you have no right to;
- send spam or unwanted messages through it;
- try to reach other people’s data, get around its limits or security, or overload it;
- copy, resell or reverse-engineer ActionMind, or use it to build a competing product;
- put harmful code or content into meetings, files or names to trick the AI or the service.
We may limit or suspend use that breaks these rules, and tell you why.
Fees
During the pilot, ActionMind is provided as agreed with you. When paid plans start, we will show their prices and tell you at least 30 days before anything you use is charged. Prices do not include taxes, which are added where the law requires.
Availability
We work to keep ActionMind running and your data safe, but we can’t promise it will always be available or free of errors. It depends on other services too (the meeting platforms, the AI providers, your connected tools). We may pause it briefly for maintenance, and tell you ahead when we can.
Ending
- You can stop using ActionMind at any time and delete your workspace in Settings. Everything ActionMind holds for it is deleted 7 days later; you can cancel until then.
- We may suspend or close an account that seriously or repeatedly breaks these terms or the law, with notice where we reasonably can.
- What was already sent to your own tools stays there.
Warranties and liability
As far as the law allows, ActionMind is provided “as is”, without promises beyond those in these terms.
As far as the law allows, we are not liable for indirect or consequential losses (such as lost profits or data), and our total liability for any claim is limited to what you paid us in the 12 months before it (or USD 100 if you paid nothing). Nothing here limits liability that the law does not allow to be limited.
You agree to cover our reasonable costs if a claim against us comes from content you brought to ActionMind without the right to, or from your breaking these terms.
Law and disputes
These terms are governed by the law of [country]. Disputes go to [courts], unless the law where you live gives you another right. Please write to us first: most things are solved faster that way.
Changes to these terms
We may update these terms as ActionMind changes. For important changes we tell you in the app or by email at least 30 days before they apply; using ActionMind after that means you accept them. The date at the top says when they last changed.
